Get started

The Implementation Hub, a step-by-step plan for setting AimRack up for your company, from settings through training to go-live.

The Implementation Hub walks your company through setting up AimRack: what to configure, who to train, and how to cut over from your old system. Your company joins it once, by enrolling, and from then on the hub lives at the address /get-started until you finish it.

How to enroll your company when you want a step-by-step setup

  1. Open the day's summary at the address /get-to-work.
  2. Under Implementation Hub, select Enroll. The card appears only when your company has not enrolled yet and you have permission to update company settings.
  3. AimRack creates your hub and opens it. Every active Admin in your company also gets an email, "Your Implementation Hub is ready", with a link to it.

While the hub is in progress, reach it again from the progress card's Open button on /get-to-work, from Get Started in the phone navigation (its badge counts the phases left), from the link in that email, or by typing /get-started. The computer's sidebar has no entry for it.

What the hub shows when you open it

The hub has its own sidebar of pages, grouped in the order you work through them:

Start Here greets your company ("Welcome, Nelson Propane"), counts the phases to go live, and shows the Next step, with a button that takes you to the page where you do it. Below it is every phase with its checkpoint and View in project plan. A Guided implementation card offers Book a call with AimRack if you want AimRack's team alongside you.

Changes a colleague makes in the hub appear on your screen as they happen.

How to work through the phases when you are setting up on your own

Enrolling from the app gives the self-serve plan, which has three phases:

PhaseCheckpointTimingWhat finishes it
1. ConfigureSystem configuredWeeks 2 to 5Its steps: Set up your resources and settings (Open the Setup Map), Import your BOM, and Turn on the built-in pieces.
2. TrainTeam trainedWeeks 5 to 7Its tasks: Build role-based training materials and Run hands-on sessions and sign off your team.
3. Go-LiveLive on AimRackWeek 8 cutoverIts task: Cut over to AimRack and freeze the old system.
  1. Open Project Plan. Each phase lists its tasks; tick a task when it is done.
  2. Configure has one task per Setup Map area (Accounting, Settings, Resources, People, Items, Sales, Purchasing, Inventory, Production). Each ticks itself once every item in that area of the Setup Map is marked configured.
  3. When a phase's work is done, select Mark checkpoint passed. If tasks are still open, AimRack lists them under "Tasks still open" and asks you to confirm.
  4. A passed checkpoint reads Passed · Reopen; select it to reopen the phase.

A phase also passes by itself once all its tasks are ticked, or once every step nested in it is done.

The hub's step text describes a manufacturer's setup, so some steps name work a propane company does not do: Import your BOM (bills of materials and the Bill of Process), Turn on the built-in pieces (configure-to-order, automated purchase planning, the shop-floor app), and, in the Setup Map, the Production area and the work centers, processes and failure modes under Resources. Import your BOM marks itself done once your company has any item on file, such as propane. For the others, select Mark checkpoint passed on the phase yourself when the propane work they stand for is done.

How to set up your company's records when you work through the Setup Map

  1. Open Setup Map. It lists 56 things to set up, grouped by area: company settings, locations, people, units of measure, customers and price lists, suppliers, storage and more.
  2. Select an item's link to open the AimRack screen where you set it up; it opens in a new tab so the Setup Map stays where you left it.
  3. Each area's heading carries Docs and Video links; today both open the aimrack.com home page rather than a page about that area.
  4. Mark each item configured when it is done, or use Mark all as configured for a whole area.

How to finish the hub when your company is live

  1. When every checkpoint is passed, AimRack takes you to Start Here and celebrates with confetti.
  2. Start Here reads "You're live on AimRack" with Finish onboarding.
  3. In the "Finish onboarding?" dialog, select Finish onboarding, or Not yet to stay.

Finishing takes you back to Home, and the progress card leaves /get-to-work. To open the hub again later, go to Settings, then Company, and select Go to implementation hub.

How to see what your customers see when you set up a hub for them

Preview as customer, at the top right of every hub page, shows the hub without the AimRack-only pages and with locked fields hidden. Exit preview returns to the full view. The preview lasts until you leave it, even across reloads in the same browser tab.

Where this fits

  • The day's summary at /get-to-work, where the enrollment and progress cards live, is described in Home.
  • The Setup Map's links open the settings screens; see Settings and People.
  • Your customers and their price lists are on Accounts and Sales.
