Resources
Your depots, the equipment you maintain, the qualifications your people hold, and the suggestions they send in.
The Resources area holds what your operation runs on besides customers and gas: the depots you work from, the plant equipment you keep in repair, the qualifications each person holds and when they expire, the outside contractors you call in, and the suggestions your people send.
How to read the Resources dashboard when you open the area
The first page, Resources in the sidebar, is about equipment upkeep:
- Open Dispatches, Open Reactive and Open Scheduled count the maintenance jobs still open: all of them, the ones raised because something broke, and the ones raised by a schedule. View Open, View Reactive and View Scheduled open the matching lists.
- Mean Time To Repair and Mean Time Between Failures come from the times recorded on maintenance dispatches, per work center or for All Work Centers.
- Spare Part Consumption and Spare Part Cost total the parts issued to maintenance.
- Worst Performing Machines lists the work centers with the worst maintenance record.
- Assigned to Me and Recently Created list dispatches; Export CSV downloads the list.

How to set up your depots when you start
Each depot you run is a location. The demo company's are its public branches, such as "Nelson Propane · Corsicana" with 60,000 gallons of storage.
- Open Resources → Locations and add one.
- Fill in Location Name, a short Code, and the Timezone the depot keeps.
- Save.
Locations are used across the app: stock is held at a location, issues and maintenance jobs are raised against one, and people have a default location.
How to set up the equipment you maintain when you plan upkeep
Maintenance is always raised against a work center, so set up each piece of plant equipment you keep in repair as one, for example a depot's transfer pump, its loading rack, or its cylinder filling station.
- Open Resources → Work Centers and add one.
- Give it a Name, the Location it sits at, and a Description. Department and Shifts are optional.
The work center form also has labor, machine and overhead rates, batch sizes, Default Unit and Processes. Those settings come from manufacturing costing; nothing in the deliveries, routes, tanks or accounts pages reads them, so you can leave them at their defaults. The same holds for Processes, whose batching and kanban settings belong to manufacturing.
Trucks are not work centers: vehicles have their own records, and a maintenance dispatch cannot be raised against a vehicle.
How to track who is qualified when certifications expire
An ability is a qualification a person holds that has to be renewed, such as the Railroad Commission of Texas category D service license your technicians need for leak checks, or your company's hazardous materials training for drivers.
- Open Resources → Abilities and add one: Ability (its name), Process, and Recertify Every (Days).
- Open the ability and add the people who hold it, with their Last Training Date. Expires At is worked out from the recertification period when you leave it blank.
The ability's list shows each person as Qualified or Expired, with Last Training and Expires. A training can grant an ability: when someone completes that training, their last training date and expiry update on their own.
How to record outside help when you use contractors
Contractors lists supplier contacts you bring in to work, with the Supplier and their Hours per Week. Partners lists supplier locations and the hours they give you. Both pages are under the Resources address (/resources/contractors, /resources/partners).
How to read suggestions when your people send them
Anyone can send an idea, a suggestion or a problem from the Suggestion button in the top bar of every page ("Ideas, suggestions or problems?"), with a file attached and optionally anonymously. Resources → Suggestions lists them with the Date, the Employee, the text and Tags; opening one shows the page it was sent from and any attachment.
