Warehouse transfers

Send stock from one of your plants to another, shipping it out of one and receiving it into the other.

A warehouse transfer sends stock from one of your plants to another, for example cylinders or parts from Nelson Propane · Corsicana to Nelson Propane · Fairfield. It leaves the first plant on a shipment and arrives at the second on a receipt, so both plants' numbers stay right while the stock is on the road.

How to plan a transfer when one plant needs stock from another

  1. Open Inventory, then Warehouse Transfers, and choose Add Warehouse Transfer.
  2. Choose the From Location and the To Location, the Transfer Date, and the Expected Receipt Date. Add a Reference and Notes if they help.
  3. Add Transfer Lines: the Item, the Quantity, the From Storage Unit it leaves and the To Storage Unit it lands in.
  4. Choose Save. The transfer is Draft, and its lines can still be edited or deleted.

How to send and receive the stock when the transfer is agreed

  1. Choose Confirm. The transfer becomes To Ship and Receive and its lines lock. Storage rules for the receiving plant are checked at this step.
  2. At the sending plant, choose Ship. This opens a new shipment already filled in from the transfer; post it when the stock leaves. Once every line has shipped, the transfer shows To Receive.
  3. At the receiving plant, choose Receive. This opens a new receipt from the transfer; post it when the stock arrives.
  4. When every line has shipped and arrived, posting the last shipment or receipt marks the transfer Completed.

The transfer page lists its Shipments and Receipts, so you can see what has gone and what has landed.

How to stop a transfer when it is no longer needed

Cancel a transfer that will not go ahead; it becomes Cancelled. Reopen returns a transfer to Draft so its lines can change again.

Where this fits

A warehouse transfer is carried out by a shipment at the sending plant and a receipt at the receiving plant, and both plants' quantities in Inventory change as those post. Moves between storage units inside one plant are stock transfers.
