A person's record

One employee's own page, with their profile, job placement, abilities, trainings, notes, extra details and time cards.

Every employee has one page of their own. It gathers their profile, their place in the company, the abilities and trainings the company tracks for them, notes the office keeps, any extra details the company records about people, and, when time cards are turned on, their hours. Open it by clicking a name in People.

The top of the page summarises the person: their Department, Location, Manager and Start Date. Below it, a sidebar lists the tabs: Profile, Job, Abilities, Notes, Timecards when time cards are turned on, and one tab for each attribute category the company has set up.

A person's page can also be opened with the employee number that came from the company's previous system, such as the Cargas employee id; AimRack finds the matching person and opens their page.

How to update someone's name or photo when it is wrong

  1. Open the person and stay on Profile.
  2. Change the First Name or Last Name, or use Change to upload a new photo and Remove to clear it.
  3. Click Save.

Anyone who may update People records can change a person's names and photo in a company where that person is an active employee. Someone who may also update Users records can change the person's Phone and About on the same form. Without those rights the profile is read-only. Everyone can always change their own name, phone, about and photo under Account.

How to place someone in the company when they start or change roles

  1. Open the person and choose Job.
  2. Fill in their Title, Start Date, Location, Shift, Manager and Department, plus any custom fields the company added to job records.
  3. Click Save.

The title is only a job title such as "Driver" or "Office Manager". It does not decide what the person may do in AimRack; their employee type and permissions do, and those are set in Users.

How to see what someone is qualified to do when you plan work

The Abilities tab lists the abilities recorded for the person, such as a skill the company tracks, with their status. Click Add Ability to record a new one, or click an ability to edit it.

Below the abilities, Trainings lists every training assigned to the person with its status: Completed, Pending, Overdue or Not Required. Trainings are set up and assigned in Training.

How to keep notes about someone when the office needs a record

Choose Notes. Notes are free text that the office can write and edit over time, and anyone who may view People records can read them.

How to fill in extra details when the company tracks more than the built-in fields

Each attribute category set up in People appears as its own tab on the person's page, named after the category. Open the tab and fill in or change the values. Values of attributes marked Self Managed can also be filled in by the person themselves.

How to record a person's hours when time cards are turned on

  1. Choose Timecards. The tab shows one week at a time, with Prev and Next to move between weeks, and a Total of the week's hours.
  2. Click Clock In when the person starts work, and Clock Out when they finish. An entry that has not been clocked out shows Active.
  3. Click Add Entry to record time after the fact, or use an entry's menu to Edit or Delete it. Deleting cannot be undone.

The same entries appear in the company-wide list under People → Timecards. Entries still open on Sunday night are closed automatically, as People describes.
