Receipts
Record stock arriving at a plant, from a supplier's purchase order, a returned item or a transfer, and post it to inventory.
A receipt records stock arriving at one of your plants: parts or cylinders a supplier delivered against a purchase order, an item a customer sent back, or stock sent over from another of your plants. Nothing changes on hand until the receipt is posted.
How to receive a delivery when the goods have arrived
- Start from the purchase order you are receiving, or open Inventory, then Receipts, and choose Add Receipt.
- Check the Source Document and Source Document ID. A receipt can come from a Purchase Order, a Purchase Invoice, a Sales Return or a Warehouse Transfer.
- Check the Location where the goods landed and add an External Reference, for example the supplier's packing slip number.
- On each line, enter the Quantity that actually arrived. To put part of a line in a different storage unit, use Split receipt line.
- For a batch-tracked item, enter the Batch Number, and the Expiration Date when the item carries one. For a serial-tracked item, enter a serial number for every unit received.
- Choose Save while you are still checking, then Post when the count is right.
The receipt moves from Draft to Posted. Posting adds the stock, raises the purchase order line's received quantity, and, when accounting is on, records the goods as received but not yet invoiced until the supplier's bill is entered.
When an item needs inspection on arrival, its units land On Hold and an inbound inspection opens. They become available only when the inspection passes. The receipt's Inspection link opens it.
How to receive a returned item when a customer sends something back
- From the sales return, create the receipt, so its Source Document is Sales Return.
- For a serial or batch tracked item, the line asks for the Returned serial numbers or the Returned batch, so the same unit comes back rather than a new one being made up.
- Post the receipt. The returned unit comes back On Hold, valued at what it cost when it left.
How to undo a receipt when it was posted by mistake
- Open the posted receipt and choose Void.
- The warning lists what voiding does: it reverses the inventory, restores tracked units, updates the purchase order quantities and reverses the journal entries.
- Confirm with Void Receipt. The receipt becomes Voided.
A Draft or Pending receipt has nothing to reverse, so delete or edit it instead. A receipt created by posting a purchase invoice is voided by voiding that invoice.
Where this fits
A receipt usually follows a purchase order, and the supplier's bill is matched later on a purchase invoice. A warehouse transfer creates the receipt at the plant that receives the stock. Inbound inspections live in Quality. What arrived shows in Inventory once the receipt is posted.
