Training

Build the courses your crews must complete, assign them to groups, and see who is current, overdue or not yet required.

Training is where you keep the courses your people have to complete and prove they did: hazardous materials handling for drivers, your leak check procedure for service technicians, cylinder filling for plant staff. A training has written material and an optional quiz. You assign it to groups of employees, the app tracks who has completed it in the current period, and it sends reminders to anyone still outstanding.

How to create a course when you need one

  1. Open Resources → Training and choose New Training.
  2. Give it a Name. If completing it should renew a qualification, pick that ability under Grants Ability (see the Resources guide for abilities). Save.
  3. Write the material in the training's editor.
  4. In the properties panel set:
    • Type: Mandatory or Optional.
    • Frequency: Once (complete it one time), Quarterly or Annual (it must be completed again each quarter or each year).
    • Estimated Duration and Tags.
  5. Press Publish when it is ready; the training's Status goes from Draft to Active. Set it to Archived to retire it while keeping its history. Delete Training removes it.

How to add a quiz when you want proof of understanding

On the training, choose Add Question and pick the Type:

Drag questions to reorder them. Edit Question and Delete Question change or remove one.

How to assign a course when a group of people must take it

  1. Open Resources → Assignments and choose New Assignment.
  2. Pick the Training and, under Assign to Groups, the employee groups that must complete it ("Select the groups that should complete this training"). Save.

Everyone in those groups now owes the training, and they are notified. Adding someone to a group later enrolls them without a new assignment.

How employees complete a course when it is assigned to them

An assigned employee takes the training on its own page: they read the material and answer the quiz. A score of 80 percent or more records their completion for the current period; a training without questions is completed by finishing it.

How to see who is current when you check compliance

Open the assignment and its Status tab. Each person shows one of:

  • Completed: they finished it in the current period.
  • Pending: they owe it this period and have not finished.
  • Overdue: a past period ended and they never completed it.
  • Not Required: they started with the company after that period ended, so they never owed it.

Mark Complete records a completion by hand, for example when a driver took the course in person. It is not offered for people already Completed or Not Required. Search the list with "Search employees...".

For a Quarterly or Annual training, completion resets when a new period begins, so everyone is Pending again at the start of each quarter or year. A Once training stays completed.

How reminders work when people fall behind

Every Sunday evening the app sends each employee one reminder listing the trainings they still owe (Pending or Overdue). A reminder for the same training stops after five have been delivered in a period, and starts again when the next period begins.
